Responsibilities:
- Ensure cost-effective accommodation procurement aligned with the organization's travel needs.
- Provide guidance on travel requirements, including visas, medical considerations, and foreign travel regulations.
- Engage with employees to determine destinations, preferred transportation modes, travel dates, and required accommodations.
- Regularly review employee ticketing and sales activities for accuracy in cost calculations, booking procedures, and transportation scheduling.
- Stay informed about current transportation carrier schedules, tariff rates, and regulations, adjusting as necessary.
- Efficiently book transportation and hotel reservations and provide employees with transportation carrier tickets.
- Plan detailed itineraries and arrange accommodation, along with other essential travel services.
- Respond promptly and accurately to inquiries regarding routes, fares, and accommodations.
- Handle the printing or request of transportation tickets.
- Perform any other duties assigned to ensure the smooth operation of travel-related responsibilities within the organization.
- Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.
- High School Diploma.
- College degree or relevant certification.
- 3 to 4 years of professional work experience in the field.
- Exceptional organizational skills with keen attention to detail.
- Efficiently handles and prioritizes multiple tasks.
- Proficient in MS Outlook and Internet usage.
- Exceptional communication skills to effectively interact with employees and external personnel.
- Familiarity with travel management software and tools for streamlined operations.
- Proven problem-solving abilities to address unforeseen travel challenges promptly.
- Adaptability to evolving travel regulations and industry trends.
- Strong negotiation skills for securing favorable terms with transportation and accommodation providers.
- Adept at analyzing travel data to identify cost-saving opportunities and improve overall travel efficiency.
